Who we are

widemusicrecords.com is the site of the record label Wide Music Records. The controller of the personal data that reaches us through this site is:

What we collect

We only collect what you give us yourself, when you fill in one of the three forms on the site. There is no user registration, no account and no shopping cart.

• Services form: name, email, phone number, a link to your demo and your message. Only the name and the email are required.
• Contact form: name, email and your message.
• Newsletter signup: your email address, nothing else.

Beyond that, the server hosting the site keeps technical logs, as every server does: IP address, time, the page requested and the browser. They exist for operation and security, we do not connect them to people and we do not use them to track you.

Why we need it and on what legal basis

Every piece of data here has a specific reason to exist.

• To answer your message or your request to work together. The legal basis is your consent at the moment you press send and, where we are discussing a possible collaboration, the pre-contractual steps of Article 6(1)(b) GDPR.
• To send you our newsletter, if you sign up. The legal basis is your consent, which you can withdraw whenever you want.
• To keep the site running and clean, meaning the server logs and the protection against bots. The legal basis is our legitimate interest in keeping the site up and the forms free of spam.

We do not send the newsletter to someone who simply wrote us a message. The two contact forms record the contact separately from the newsletter list, precisely so this cannot happen by accident.

Where it is stored

Everything you send through the forms ends up in FluentCRM, the company's contact system, which runs inside our own WordPress on our own server. The site itself has no database and stores nothing of yours.

Only the people working at Wide Music Records who need to read your message in order to answer it have access. We do not sell data, we do not trade it and we do not hand it to advertising networks.

When a third party is involved

The site is deliberately plain. Only three things bring a third party into the picture, and all three only when needed or when you allow it:

• Cloudflare Turnstile. This is the check that tells a human apart from a bot on the forms. It loads only once you click inside a form, not when the page opens. From that point Cloudflare processes technical details of your connection, such as your IP address and browser information, in order to judge whether you are human.
• YouTube videos. Release pages carry the music video, and some articles have videos inside the text. The video on a release page loads only once you press play: until then you are looking at the cover art, served from our own server, and your browser has not talked to YouTube at all. From the moment you press it, your browser connects to YouTube and Google, and they may set their own cookies. That happens under their terms, not ours. A video inside an article loads as soon as the article opens.
• Statistics tools, only if you accept them in the banner shown on your first visit. There are two: Google Analytics and our own measurement tool (analytics.wideview.tools, run by the company that builds and maintains this site). Until you press Accept, neither loads and your browser sends nothing to anyone. If you accept, Google processes details of your visit on our behalf, such as which pages you opened and from which country, possibly on servers in the United States under the EU-US Data Privacy Framework, while our own tool measures the same basics on our own server. We do not use them for advertising or profiling, only to see what is being listened to and read.

The site's fonts are served from our own server and not from Google Fonts. Opening a page, without pressing play on a video, without touching a form and without having accepted statistics, sends nothing to anyone else.

Cookies

Statistics cookies of our own are set only if you press Accept on the consent banner. These are the _ga and _ga_* cookies of Google Analytics, which tell one visitor apart from another without saying who they are and last up to two years, plus whatever technical identifier our own measurement tool needs. There is no Meta pixel and no advertising tool of any kind.

Your choice is remembered by your device, not by us. You can change it whenever you want through the Cookies link at the bottom of every page: declining stops the statistics from that moment on.

Cookies can also come from the other two third parties named above: from Cloudflare when a form check is activated, and from YouTube when you press play on a release video or when a video inside an article loads.

How long we keep it

As long as the reason we received it lasts, and no longer.

• Messages and contact details stay in the CRM for as long as our conversation lasts and for as long as we need afterwards to remember what was said. If a collaboration follows, anything related to invoicing is kept for as long as tax law requires.
• A newsletter signup stays until you unsubscribe. Every email we send has an unsubscribe link, and you can also simply ask us.
• The server's technical logs rotate on their own after a short period.

In every case, if you ask us to delete your data, we delete it, apart from anything the law obliges us to keep.

Your rights

Regulation (EU) 2016/679, known as the GDPR, gives you specific rights over your data:

• Access: to learn what we hold about you and to receive a copy.
• Rectification: to have anything wrong or incomplete corrected.
• Erasure: to have what we hold deleted, when there is no reason for it to stay.
• Restriction: to freeze the processing while a disagreement is pending.
• Objection: to object to processing that rests on our legitimate interest.
• Portability: to receive your data in a machine-readable format.
• Withdrawal of consent, at any time, without affecting what was lawfully done before it.

Send your request to info@widemusicrecords.com and we answer within one month at the latest. If you believe we have not handled your data properly, you have the right to lodge a complaint with the Hellenic Data Protection Authority, Kifissias 1-3, 11523 Athens, www.dpa.gr.

Changes to this policy

If something changes in the way the site works or in what we collect, we update this page and change the date at the top. The version you are reading here is always the one in force.
